Inviting Your Team

Once your hub is set up, it’s time to bring your crew in. CrewTalk uses invite codes — short alphanumeric strings that anyone can use to join your hub. You can share them as text, QR codes, or deep links.

Generating an Invite Code

Enter Your Hub

From the Hub Selector, tap into the hub you want to invite people to.

Open Hub Settings

On the PTT screen, tap the gear icon to open the Hub Settings drawer.

Go to Invites

Find the Invite Codes section and tap Generate New Code.

Set Options

Configure your invite code:

  • Expiry: Never, 1 Day, 7 Days, or 30 Days
  • Max Uses: Unlimited, 5, 10, or 25 uses

Share the Code

Your code is generated instantly. Share it via the options below.

Sharing Methods

Plain Code

Share the 8-character code directly (e.g., Ab3xKm9p). The recipient enters it manually in the app’s “Join Hub” flow.

QR Code

Each invite code has a QR code that others can scan using CrewTalk’s built-in QR scanner. This is the fastest method for in-person onboarding — great for call sheets or posting at craft services.

Deep Link

Every code generates a deep link in the format:

crewtalk://join/{hubId}/{code}

When someone taps this link on a device with CrewTalk installed, it opens the app and starts the join flow automatically.

💡 Day-of Setup

For production days, create a code with a 1-day expiry and print the QR code on the call sheet. This way, day players can scan and join quickly, and the code automatically expires after the shoot.

Managing Invite Codes

From the Hub Settings, you can see all your invite codes with their status:

  • Active — Code is valid and can be used
  • Expired — Past the expiry date (shown dimmed)
  • Maxed — Reached the maximum number of uses

Each code shows:

  • Who created it and when
  • Expiry date (or “Never”)
  • Usage count and limit
  • Copy buttons for the code and deep link

Deleting Codes

Admins and owners can delete invite codes at any time. This is useful if a code was shared with the wrong person or you want to revoke access for future joiners. Members who already joined using that code are not affected.

How Joining Works

When someone uses your invite code:

  1. They open CrewTalk and tap Join Hub
  2. They enter the invite code (or scan the QR / tap the deep link)
  3. The app validates the code, checks expiry and usage limits
  4. They’re added to the hub as a Member (the default role)
  5. The code’s usage count increments
📝 Note

New members join with the Member role by default. Owners and admins can promote them to Admin afterward if needed. See Roles and Permissions for details.

Web Dashboard

You can also manage invite codes from the CrewTalk Web Portal. The portal offers the same code generation, sharing, and deletion features in a desktop-friendly interface.

Frequently Asked Questions

Yes, you can create as many invite codes as you need. This is useful for giving different departments or groups their own codes with different expiry settings.
They’ll see an error message saying the invite code is invalid or expired. You’ll need to generate a new code for them.
Only hub owners and admins can generate invite codes. Regular members cannot create or share invite codes.
