Roles and Permissions

CrewTalk uses a three-tier role system to manage what team members can do within a hub. Understanding roles helps you set up your team efficiently and maintain control over your production's communication.

The Three Roles

Owner

The person who created the hub. Each hub has exactly one owner.

Admin

Promoted members who help manage the hub. A hub can have multiple admins.

Member

The default role for anyone who joins via an invite code.

*Admins can demote other admins but not the owner.

📝 Note

The permission system is enforced in the app UI — admin-only features simply don't appear for regular members. This keeps the interface clean and prevents confusion.

Promoting and Demoting

Promoting to Admin

Open the Member Action Sheet

Tap a member's name in the roster to open their action sheet.

Find the Management Section

Scroll down to the Management section (only visible to admins/owners).

Tap Promote

Tap Promote to Admin. A confirmation dialog appears.

Confirm

Tap Confirm to promote the member. Their role updates immediately.

Demoting to Member

The same process in reverse — tap Demote to Member in the Management section. The admin loses all elevated permissions immediately.

Best Practices

For Film Productions

  • Owner: Producer or 1st AD (the person responsible for the communication setup)
  • Admins: Department heads (DP, gaffer, sound mixer, production manager)
  • Members: Everyone else (crew members, PAs, day players)

General Tips

  • Keep the admin count reasonable — 2-4 admins per hub is usually sufficient
  • Promote people who need to manage channels, invites, or members
  • Regular members can do everything they need for communication — PTT, messaging, calls
  • Only elevate someone's role if they need the management capabilities
💡 Day Players

For crew members who are only on set for one day, the default Member role is perfect. They can communicate fully without access to management features they don't need.
